Tips for Effective Requisitioning
Make sure the appropriate account code combinations are open.
If it is unclear which object code you should use, please contact Capital Assets Accounting for clarification. Object codes whose description includes the word "miscellaneous" should only be used if no other object code describes the specific item being purchased.
A sub-object code is required for all Fund 2, 3, and 7 capital requisitions. Determine whether the item to be purchased is capital or non-capital. In general, items costing over $1,000 are capital items (for the purpose of determining whether the item is capital or non-capital, be sure to include tax, shipping/delivery, warranties, and installation into the cost of each unit or system). Use sub-object code 1000 for capital items and 1500 for non-capital items.
Fund 730 and 740 accounts require a project number.Fund 710 would typically have a project number if the total project cost exceeds $5,000.
Tax, shipping/delivery, warranties and installation are to be requisitioned as "service-dollars," NOT goods. If the vendor is from Arizona, the requisition must have a requisition line for tax.
Itemize as much as possible on each requisition line. DO NOT itemize in the notes section (this is especially important when ordering computer monitors).
Modular furniture (i.e. office cubicles) is charged to object code 57940 and is not considered a capital item. The individual components of modular furniture need not be detailed on the requisition. Modular furniture may be listed (in total) on one requisition line as "service-dollars," which will facilitate the ability to receive partial shipments and eliminate the need to on-line receive each component of modular furniture (i.e. brackets, braces, etc.).
Software is always considered non-capital, regardless of cost.
Firearms, desktop computers, computers, laptops, servers, and licensed vehicles are always considered capital, regardless of cost.
