Job Summary
Assists an administrator by coordinating and assisting in
projects and activities for the day to day operations of a department or
functional area. Maintains liaison
relationships with other administrators and outside organizations, monitoring
services and activities.
Scope
This position works in an assigned
area. Work contacts include faculty,
administrators, staff, business and professional organizations. Equipment used includes standard office
equipment and a variety of computer
hardware and software.
Supervision Received
This position reports to assigned administrator; receives
general direction regarding routine and standard matters; specific instructions
regarding non‑routine or sensitive matters.
Supervision Exercised
Depending on
location/department, may provide work direction to assigned support staff, students
and temporaries.
Representative Duties
Coordinates projects and activities such as grant proposal
submission and review, class schedules or instructional programs, tracking and
monitoring of budgets for projects or department; troubleshoots technical
problems; supervises and monitors processes; manages support or special event
activities and functions for department; monitors and evaluates assigned
programs and maintains liaison for supervisor with other district departments
and outside organizations; represents the supervisor as requested; monitors
developing trends and available services relevant to assigned area and informs
supervisor; participates with administrators and other staff in planning
activities; coordinates, prepares and/or edits complex narrative and
statistical reports, presentations, schedules, newsletters and promotional
materials; provides research assistance on special projects; composes
correspondence requiring an understanding of specialized issues of assigned
area; maintains confidential personnel records; performs related duties as
assigned.
Knowledge and Abilities
Knowledge
of: project and office management; budget preparation and monitoring, basic
statistical computations; computer systems, software and equipment in assigned
area; educational and occupational programs in assigned area, educational
institutions; standard office practices, procedures, software and equipment.
Ability
to: maintain updated knowledge of policies, procedures and current practices
and trends in the assigned area; coordinate, monitor and evaluate complex
projects and activities; organize, prioritize, direct, supervise and evaluate
the work of others; work independently while recognizing situations that
require the supervisor's attention; maintain confidentiality; maintain accurate
financial and statistical records; use integrated software packages; apply
statistical computations; communicate effectively orally and in writing;
establish cooperative working relationships with persons contacted in the
course of performing assigned duties.
Training and Experience
Any combination of education, training and experience that
provides the required knowledge and abilities.
An example of this would be experience in the coordination and
monitoring of complex projects and preparation of reports and budgets, and
acting as communications liaison for the supervisor. Familiarity with educational institutions is necessary in most
positions.

require prolonged monitor viewing. This position may require a Class D Driver’s License.
