Job Summary


Assists the Vice Chancellor in providing complex administrative support for districtwide functions, projects and activities.  Provides assistance to internal and external community regarding MCCCD operations and policies.  Serves as a liaison providing communication, research and troubleshooting services for a variety of unique situations on behalf of the Vice Chancellor.


Scope


This position works in the area of a Vice Chancellor.  Work contacts include Governing Board, College Presidents, faculty, administrators, students and staff, as well as a wide variety of business, community and government leaders throughout the state and the nation.  Equipment used includes standard office equipment.


Supervision Received


This position reports to a Vice Chancellor; receives general direction regarding routine and standard matters; specific instructions regarding non‑routine and sensitive matters.


Supervision Exercised


Depending on location/department, may supervise and provide work direction to assigned office staff. Provides consultative advice to a variety of administrators, staff and students.


Representative Duties


Acts as a liaison for the Vice Chancellor to District departments, colleges and outside organizations; works with executives, administrators, faculty and staff on issues such as budget development and expenditures, capital development programs, student, personnel, international education, community issues, curriculum and articulation; serves as a member of various Districtwide committees and task forces; coordinates local and national conferences; assists with reports, studies and grants, working with the community on diversity and charity issues and a variety of national competitions; maintains calendar for Vice Chancellor, arranges meetings, conferences and appointments; coordinates department, office projects, activities and events; serves as an information resource and advises staff, local and national community on all District matters, policies and processes; refers problems regarding personnel, student and community situations to appropriate source; answers inquires and composes (financial and narrative) reports and correspondence; prepares presentations; performs research; prepares and edits narrative materials; may be asked to provide statistical information for assigned projects/activities; maintains complete audit trails and supporting documentation for review by various regulatory and non‑regulatory agencies; assists with projects for the Governing Board; represents MCCCD at specific community and national events, meetings, retreats and conferences; administers budgets and assists with budget development; performs related duties as assigned.



Knowledge and Abilities


Knowledge of: educational, cultural, political and employee relations issues; project management; statistical computations; personnel policies; budget analysis; District and statewide policies and procedures; computer systems and software in assigned areas; English composition.


Ability to: work independently; perform effectively in an environment with constant interruption; train and direct the work staff; coordinate and monitor complex projects and activities; use integrated software packages; deal with sensitive or difficult situations; communicate effectively orally and in writing; establish cooperative working relationships with persons contacted in the course of performing assigned duties.


Training and Experience


Any combination of education, training and experience that provides the required knowledge and abilities.  An example of this would be experience in the coordination and monitoring of complex projects, preparation of reports and acting as a communications liaison for the supervisor.  Familiarity with educational institutions is necessary in most positions.
