Job Summary
Assists the Governing Board and/or Legal Offices in
providing complex technical and administrative support for District‑wide
functions, projects, and activities, including the day‑to‑day
management of the Office(s). Acts as
liaison between the Governing Board/General Counsel, various District
committees and internal and external communities handling a variety of complex
and sensitive issues. Records and
maintains the official and legal records of the Governing Board/General Counsel
Office.
Scope
This position works in the Legal Services Department or
assigned area. Work contacts include
Governing Board, administrators, staff, students, the community at large, and
local and national organizations.
Supervision Received
This position reports to the General Counsel/Governing
Board; receives general direction on routine matters and specific instructions
concerning sensitive matters.
Supervision Exercised
This position supervises an assigned staff.
Representative Duties
Maintains liaison between internal and external communities,
District wide committees, and the office supported; provides information,
research, expertise, and assistance regarding MCCCD procedures and policies;
coordinates a variety of complex and confidential activities on behalf of of
the Governing Board or legal counsel, such as providing research assistance in
the areas of employee, student, community and governmental issues; may assist
in the development of internal and external surveys; coordinates projects,
events, District‑wide meetings, local and national conferences, as well
as special projects; answers inquiries and composes correspondence
requiring an understanding of District‑wide
issues and policies; prepares and edits narrative materials; composes/edits
script for speeches and presentations; acts as an information resource for
national and local organizations, including, but not limited to, national
trustee organizations, legislative offices, State Board of Community Colleges
for Arizona, and Arizona State Board of Regents, NACUA, ACCT committees; serves
as an active member on District‑wide committees, such as the diversity
steering team, College Safety Committee, ITS Liaison Meetings; represents the
District at local and national conferences and events; may participate in
planning sessions for the Governing Board strategic conversations and other
meetings; records and maintains the legal, financial and official records of
the Office; administers budget; oversees office operations and manages
workflow; solicits and authorizes a variety of vendors and suppliers,
supervises assigned staff; may coordinate meetings and information regarding
course substitution requests, ergonomic requests and specified hazardous waste
disposal; performs related duties as assigned.
Knowledge and
Abilities
Knowledge
of: project management; Governing Board policies; budget analysis; educational,
community, and employee relations issues; computer systems and equipment;
records management procedures.
Ability
to: work independently in a stressful environment with little or no
supervision; problem‑solve and troubleshoot; recognize and handle politically
sensitive issues; coordinate several activities and events at one time;
communicate effectively orally and in writing; learn and use integrated
computer systems; establish cooperative working relationships with persons
contacted in the course of performing assigned duties.
Training and Experience
Any combination education, training, and experience that
provides the required knowledge and abilities. An example of this would be
experience in the coordination and monitoring of complex projects and project
management. Familiar with educational institutions and policy management.
Special Conditions of Employment
Will require a flexible work schedule and extended work
hours. This position may require a Class D Driver’s License.
