Job Summary
Coordinate the scheduling, rental, use and operations of college facilities. Provides system administration of on-line scheduling systems and proximity control.
Scope
This position works in the area of Administrative Services and reports to the administrator responsible for Maintenance and Operations. Work contacts include administrators, faculty, staff, students, vendors, and public. Equipment used includes standard office equipment.
Supervision Received
This position reports to an assigned administrator; receives general direction regarding routine matters and specific instructions regarding non-routine matters.
Supervision Exercised
This position supervises assigned staff, CAD Operator,
students and temporary personnel.
Representative Duties
Supervises assigned staff, temporary and student workers;
coordinates internal and external use and rental of facilities according to
District guidelines; maintains and communicates district and college policies
and procedures as related to assigned area, including risk management, legal
contract requirements, and local government regulations; responsible for all
aspects of: college facilities rental, scheduling, event management,
coordination and support; attends events as needed to ensure services are
provided according to specification; acts as college system administrator for
Resource 25, on-line scheduling system, including system implementation,
on-going support, and providing system training to college users; provide
supervision and direction to CAD operator to maintain and update master college
facility drawings, and provide design drawings for college internal remodeling
projects; maintains access control system, assigns and monitors access cards,
maintains system records, troubleshoots and reports system malfunctions; manages
budget, obtains quotes, and purchases equipment according to District
procurement policies; conducts research and provide statistical data; ensure
appropriate maintenance of all necessary records, including legal agreements,
insurance certificates, facilities rental documents, and budget related records;
performs related duties as assigned.
Knowledge and Abilities
Knowledge of: standard office practices, procedures and
equipment; facilities rental and scheduling.
Ability to: coordinate multi-use facilities; supervise the
work of others; maintain accurate records; communicate effective orally and in
writing; establish cooperative working relationships with persons contacted in
the course of performing assigned duties.
Training and Experience
Any combination of education, training, and experience that
provides the required knowledge and abilities.
An example of this would be responsible facilities and event
coordination experience involving significant scheduling and public relations
responsibilities, with direct supervisory skills. Experience with management
and implementation of on-line scheduling systems.
Special Conditions of Employment
This position may require a Class D Driver’s License.
