Job Summary


Coordinates tracking procedures, records and information within an assigned area.  Analyzes and provides technical assistance and statistical reports as needed.  Develops instructional materials and delivers technology training to employees.


Scope


This position works in an assigned area.  Work contacts include administrators and staff.  Equipment used includes standard office equipment.


Supervision Received


This position reports to an assigned administrator; receives general direction regarding routine and standard matters; specific instructions regarding non‑routine and highly sensitive matters.

None.


Representative Duties


Coordinates the records and information of the assigned area; establishes procedures to track department software purchases, licensing, usage and disposition; distributes site licensed software to the colleges; tracks and reports software usage; maintains budget, maintenance contracts and invoices for auditing purposes; initiates maintenance requisitions; monitors purchases and use of blocks of training units for Peoplesoft courses; disseminates updates and information to colleges from technical research companies; recommends systems and procedures for storage of documents and disposition and disposal of records; recommends revisions to workflow sequences and reporting formats; develops instructional materials and deliver technology training to employees on MCCCD administrative systems and Microsoft Office products; performs related duties as assigned.


Knowledge and Abilities


Knowledge of: centralized records management practices and procedures; office practices, procedures and workflow; training techniques; instructional design and development practices; forms control and use of equipment; basic computer operations; various software and networks.


Ability to: develop records systems and procedures determine procedures in accordance with laws, regulations and policies; establish goals and meet objectives; interpret and communicate support needs; prepare statistical reports; work independently; communicate effectively orally and in writing; establish cooperative working relationships with persons contacted in the course of performing assigned duties.


Training and Experience


Any combination of education, training and experience that provides the required knowledge and abilities.  An example of this would be college coursework in communications, training and/or administrative experience in the private or public sector involving liaison and records management.


Special Conditions of Employment


Some positions may require a Class D Driver’s License.
