Job Summary

 

Supervises and coordinates the operations of the on-site copy center, mailroom, shipping and receiving, surplus property, vending machines, and other assigned related depts.

 

Scope

 

This position works in an assigned area.  Work contacts may include administrators, faculty, staff, students and the public.  Equipment used may include copiers, laminator, binding equipment, paper drill press, shredder, shrink-wrap machine, postage machine, electronic scale, fork lift, and pallet jack.

 

Supervision Received

 

This position reports to an assigned administrator; receives general direction regarding routine and standard matters; specific instructions regarding non-routine matters.

 

Supervision Exercised

 

Supervises auxiliary services staff that may include shipping/receiving, courier services, facility scheduling, copy center, mail delivery services, surplus property, vending services, and student workers.

 

Representative Duties

 

Supervises and coordinates the operations of the auxiliary services areas that may include copy center, mailroom, shipping and receiving, surplus property, vending machines; may oversee and direct courier services; supervises and trains staff in the operation of equipment, processes, procedures, and techniques; develops processes for collection and removal of surplus property and the action of all surplus property; acts as a liaison between outside copy machine vendors and the facility; orders all supplies, papers, and maintenance for copy machines; assists in the placement of vending machines throughout assigned areas and assists with service issues;  establishes rules and maintains compliance with regulations concerning the receiving, tagging, and shipping of all items ordered for the facility; inputs all copy center invoices into on-line system and creates journal vouchers for billing internal customers; may be responsible for all intercampus mail, cash bags, paychecks, parcels to other locations and outgoing US mail; locates and evaluates new products, procedures, services, and sources of supply to recommend improved products and services for maximizing efficiency; schedules work flow; assigns and prioritizes jobs, oversees production; provides quality control, monitors the budget; may maintain contractual agreements, leases and websites; performs other related duties as assigned.

 

Knowledge and Abilities

 

Knowledge of: copiers and printers; mail regulations and services; receiving and purchasing policies, practices, procedures, and systems; vending operations; computerized accounting related to purchasing and receiving; budget preparation.

 

Ability to: manage centralized service operations as well as specific departments; supervise the work of others; organize workflow; prepare and monitor budgets; communicate effectively orally and in writing; establish cooperative working relationships with persons contacted in the course of performing normal duties.

 

Training and Experience

 

Any combination of education, training and experience that provides the required knowledge and abilities.  An example of this would be supervisory experience in a copy center, mailroom, receiving or surplus property operation, preferably in an educational institution. Supervision and management experience preferred.

Working Conditions

 

Positions in this class may be required to lift up to 50-lb objects; exposure to loud noise. Some positions may require a Class D Driver’s License.
