Job Summary
Assists the Chancellor in providing complex administrative
support for district‑wide functions, projects and activities. Provides support in promoting public
information and communication to internal and external communities. Serves as a liaison providing research,
troubleshooting and communication services for a variety of unique situations
on behalf of the Chancellor.
Scope
This position works in the area of the
office of the Chancellor. Work contacts
include a wide variety of business, community and government leaders throughout
the state and country, as well as all levels of employees. Equipment used includes standard office
equipment and a variety of software.
Supervision Received
This position reports to the Chancellor; receives general
direction regarding routine and standard matters and specific instructions
regarding non‑routine and sensitive matters.
Supervision Exercised
May provide work direction to assigned office staff.
Provides consultative advice to a variety of administrators, staff and
students.
Representative Duties
Acts as a liaison for the Chancellor to external community,
colleges and district departments; communicates information to the community
regarding specific issues that place MCCCD in the news; disseminates public
information releases; may receive and respond to specific news inquiries; works
with executives, administrators, faculty and staff on issues such as budget
development and expenditures, capital development programs, student, personnel,
international education, curriculum and articulation; serves as a member of
various districtwide and community committees and task forces; plans and
manages local and national conferences; assists with reports, studies and
grants; plans and manages department, office projects, activities and events;
serves as an information resource and advises staff, local and national community
on all District matters, policies and processes; answers inquiries and composes
(financial and narrative) reports and correspondence; composes and edits
speeches and prepares graphic presentations; performs research; provides
statistical information for assigned projects/activities; assists with projects
for the Governing Board; represents MCCCD at a variety of special community and
national events, meetings, retreats and conferences; administers budgets and
assists with budget development; performs related duties as assigned.
Knowledge and Abilities
Knowledge
of: educational, community, cultural, political and public relations issues;
project management; statistical computations; personnel policies; budget
analysis; District and statewide policies and procedures; computer systems and
equipment in assigned areas; English composition.
Ability
to: work independently; perform effectively in an environment with constant
interruption; train and direct the work of staff; coordinate and monitor
complex projects and activities; use integrated software packages; deal with
sensitive or difficult situations; communicate effectively orally and in
writing; establish cooperative working relationships with persons contacted in
the course of performing assigned duties.
Training and Experience
Any combination of education, training and experience that
provides the required knowledge and abilities.
An example of this would be experience in the coordination and
monitoring of complex projects, preparation of reports and acting as a
communications liaison for an executive.
Familiarity with educational institutions is required.
