TITLE: COORDINATOR FISCAL SERVICES

Job Summary


Provides supervision to the Business Services Department office personnel and monitors the integrity and accuracy of financial transactions for purchasing requisitions and invoicing.


Scope


This position works in the administrative services department.  Work contacts may include students, staff, faculty, and administrators. Equipment used includes standard office equipment.


Supervision Received


This position reports to an assigned administrator; receives general direction regarding routine and standard matters and specific instructions regarding non‑routine and sensitive matters.


Supervision Exercised


Depending on location/department, may supervise the positions of Office Coordinator, Administrative Secretary, Cashier and/or other assigned staff.


Representative Duties


Hires, trains and evaluates assigned staff; performs purchasing duties in the approval of requisitions, creation of limited purchase orders and enforcement of procurement procedures; approves expenditures of funds and accuracy of coding for payroll, and supervises processing of payroll documents (on‑line request for personnel services and special service contracts); prepares and enters journal vouchers, budget transfers and other general on‑line accounting functions; approves travel requests and related claims, and assures proper accounting of Professional Growth funds;  prepares spreadsheets, reports and analyses of financial information; assists personnel in understanding on‑line financial information through group and individual training and  assistance; researches problems and provides answers; monitors budget accounts and on‑line budget processing; performs other related duties as assigned.


Knowledge and Abilities


Knowledge of: principles and practices of fiscal control budgeting; automated accounting systems; institutional purchasing practices and procedures; policies and procedures of the District.


Ability to: analyze, interpret and prepare budgets and financial reports; supervise staff; interpret, and implement policies and regulations relevant to the use of various restricted funds; communicate effectively orally and in writing; establish cooperative working relationships with persons contacted in the course of performing assigned duties.



Training and Experience


Any combination of education, training and experience that provides the required knowledge and abilities.  An example of this would be college level coursework or degree in business administration or accounting and/or responsible experience in fiscal control, along with exposure to the other business services, preferably in educational environment; supervisory experience preferred.
