TITLE: COORDINATOR PROPERTY CONTROL

Job Summary


Supervises and coordinates the operations of the Property Control and Receiving departments for the college including the receiving dock, accounts payable processing, and procurement.


Scope


This position works in the area of procurement and purchasing.  Work contacts include administrators, faculty, staff and vendors.  Equipment used includes standard office equipment.


Supervision Received


This position reports to an assigned administrator; receives general direction regarding routine and standard matters; specific instructions regarding non‑routine and sensitive matters.


Supervision Exercised


Supervises the positions of Property Accounting Clerk, Receiving Clerk and/or students and, temporary staff.


Representative Duties


Supervises and monitors development of the acquisitions process for campus technology, furniture, fixtures, equipment, infrastructure and telecommunications commodities; provides cost estimates for budget development; creates and processes requisitions; processes property control transfer and disposal documents; trains and supervises staff in performing on‑line procurement, receipt, and payables functions and in physical receiving and expediting; maintains liaison with users, faculty members and staff to disseminate information, interpret policies and resolve problems; maintains liaison with vendors for new production information, ordering, billing, shipping problems and information; personally processes more difficult orders and follow‑ups; edits and verifies accuracy of acquisitions input; prepares journal vouchers; reconciles accounts; conducts inventory of assets including reconciliation of missing assets; researches office configurations, specifications, and pricing for furniture procurement; performs related duties as assigned.


Knowledge and Abilities


Knowledge of: basic accounting and auditing procedures, business and managerial practices; communication skills; OSHA guidelines and machinery operation as they pertain to assigned area.


Ability to: direct the work of others; maintain accurate records; communicate effectively orally and in writing; establish cooperative working relationships with persons contacted in the course of performing assigned duties.


Training and Experience


Any combination of education, training and experience that provides the required knowledge and abilities.  An example of this would be training in general accounting, procurement and/or experience in procurement or technical services, or accounting with supervisory skills.


Special Conditions of Employment


Some positions may require a Class D Driver’s License.
