TITLE: SUPERVISOR ACCOUNTS PAYABLE

Job Summary


Coordinates and supervises the activities of Accounts Payable personnel and maintain accurate accounts.


Scope


This position works in the area of Business Services.  Work contacts include administrators and staff.  Equipment used includes standard office equipment.


Supervision Received


This position reports to the Controller; receives general direction regarding routine and standard matters; specific instructions regarding non‑routine and highly sensitive matters.


Supervision Exercised


Supervises accounting personnel, students and temporaries.


Representative Duties


Schedules and monitors work performed by staff; analyzes and resolves problems; audits vendor accounts; selects, trains and evaluates staff; analyzes, reconciles and edits Accounts Payable data input; supervises disbursal of Accounts Payable checks and oversees follow‑up procedures and subsequent reports; prepares all journal vouchers pertaining to A/P area; prepares monthly expense analysis report for Governing Board; supervises and audits the  processing of professional services contracts, travel advances, deposits, reimbursements, expenditures and student fee refunds; verifies and reconciles invoices; establishes procedures and recommends policies for A/P; analyzes expenditures for various accounts to ensure compliance with contract or purchase order; conducts training in A/P system for users; monitors outstanding A/P credits; monitors operation of computerized accounting system for operation problems; performs related duties as assigned.


Knowledge and Abilities


Knowledge of: data processing systems used in accounting; accounting principles and practices.


Ability to: supervise personnel; organize and schedule work flow; prepare and interpret reports; diagnose accounting and computer system errors; communicate effectively orally and in writing; and establish cooperative working relationships with persons contacted in the course of performing assigned duties.


Training and Experience


Any combination of education, training, and experience that provides the required knowledge and abilities.  An example of this would be a college degree in Business Administration or related field and/or experience in supervision of an accounting function.
