Job Summary
Directs, coordinates, and supervises operational and administrative services, including site supervision, couriers, and facility scheduling at all college site locations throughout Maricopa County. Coordinates the planning, design and construction for new capital development and remodeling.
Scope
This position works in the area of administrative and operational services. Work contacts include administrators, faculty, District personnel, staff, students, vendors, external agencies, outside contractors, and the public. Equipment used includes standard office equipment.
Supervision Received
This position reports to the Dean of Administrative Services; receives general direction regarding routine matters and specific instructions regarding non-routine matters.
Supervision Exercised
Supervises assigned staff, including Supervisor Auxiliary
Services.
Representative Duties
Directs, coordinates, and supervises the operation of
multiple college sites throughout Maricopa County; supervises courier
activities and facility usage and scheduling by college and external users;
maintains liaison for contractual agreements with outside vendors; develops and
administers department budget; supervises and evaluates assigned staff at all
locations; develops and administers departmental policies and procedures;
initiates and approves requisitions for purchase of materials, supplies and
contractor’s services; works with outside consultants, vendors, contractors,
and College staff in managing and administering projects and programs;
coordinates construction activities with District staff and contractors;
maintains liaison with architects, engineers and contractors engaged in
construction or renovation; ensures that design and construction meet user
needs; represents the College at all project meetings; coordinates
specification, purchase and delivery of furniture, fixtures and equipment;
reviews and reports on design and construction progress; assists in the
development of long range facility master plans; maintains records on files;
performs related duties as assigned.
Knowledge and Abilities
Knowledge of: administrative services of educational
institutions; contract negotiations; various architectural and interior design
planning and building construction.
Ability to: manage multiple projects and diverse operations;
organize and prioritize work flow; understand, interpret and communicate
technical requirements to meet user needs; read and interpret construction
drawings; supervise the work of assigned staff; maintain accurate records;
communicate effectively orally and in writing and establish cooperative working
relationships with persons contacted in the course of performing assigned
duties.
Training and Experience
Any combination of education, training, and experience that
provides the required knowledge and abilities.
An example of this would be a college degree in Public or Business
Administration and/or demonstrated experience in administrative operations in
an educational environment preferred.
Special Conditions of Employment
Possession of a Class D Arizona Driver’s License is required.
Extensive local travel may be required; exposed to odors, outside weather conditions and construction site dangers; position may require evening or weekend hours.
