TITLE: ASSISTANT DIRECTOR FINANCIAL AID

Job Summary

 

Supervises various phases and functions of financial aid process at the college. Monitors and reconciles all activity in federal, state and institutional fund accounts. Manages the day-to-day operations of the office.

 

Scope

 

This position works in the area of financial aid.  Work contacts include administrators, staff, faculty, students, parents, the public, external funding and government agencies and auditors.  Equipment used includes standard office equipment.

 

Supervision Received

 

This position reports to the Director Financial Aid; receives general direction regarding routine and standard matters; specific instructions regarding non‑routine and sensitive matters.

 

Supervision Exercised

 

Depending on location/department, may supervise the positions of Financial Aid Technician, Financial Aid Clerk and/or other assigned staff and students.

 

Representative Duties

 

Supervises, directs and trains the financial aid staff; assists the Director in the hiring and evaluation of assigned staff; works with the Director in the planning, coordination and implementation of financial aid and job placement functions; serves as liaison with various college/district offices in coordinating funds accounting, reconciliation, reports and ensuring compliance with District and granting agency requirements; counsels students and parents on financial aid matters; applies sound judgment in overriding federal need analysis formula; reconciles financial reports to federal, district and college accounting systems; prepares reports required by granting agencies and reconciles the Pell Grant and Direct Loan programs; responds to difficult financial aid inquiries and problems; researches, analyzes and interprets federal regulations and funding agency guidelines; maintains liaison with federal agencies; may oversee Veterans Services; communicates new regulations to staff; evaluates and recommends compliance procedures and systems; prepares and gives presentations to parents and general public; acts on behalf of the Director as requested; performs related duties as assigned.

 

Knowledge and Abilities

 

Knowledge of: federal (Title IV) regulations; student financial aid and job placement policies, practices and guidelines; federal and district financial record keeping and reporting; financial aid computer systems and software; general counseling and advising practices; standard office practices, procedures and equipment.

 


Ability to: supervise the work of others; interpret and analyze regulations, policies and procedures; prepare financial and statistical reports; interpret financial and statistical data; governmental and special funding guidelines and regulations; communicate effectively orally and in writing; establish cooperative working relationships with persons contacted in the course of performing assigned duties.

 

Training and Experience

 

Any combination of education, training and experience that provides the required knowledge and abilities.  An example of this would be a college degree in business administration and/or experience in financial aid systems in a supervisory capacity.
