Job Summary

 

Supervises various phases and functions of the student admissions, registration and records process at a college.

 

Scope

 

This position works in the area of college admissions, registration and records.  Work contacts include administrators, staff, faculty, students and the public.  Equipment used includes standard office equipment.

 

Supervision Received

 

This position reports to an assigned administrator, who has overall responsibility for admissions, registration, and records activities; receives general direction regarding routine and standard matters; specific instructions regarding non‑routine matters.

 

Supervision Exercised

 

Depending on location/department, may supervise the positions of Admissions/Records Technician, Admissions/Records Clerk, Admissions/Records Assistant, Coordinator Student Services, Student Services Technician, Office Coordinator and/or other assigned staff.

 

Representative Duties

 

Supervises the admissions, registration and records office staff; hires, trains and evaluates staff; coordinates and implements admission, registration and records functions; serves as the liaison with various college/district offices in coordinating such activities as telephone on‑line registration, generation and distribution of computer reports, monitoring computer time and on-line security, developing and implementing special registrations, ordering of all reports for tracking courses and students, administering appropriate registration fees, refunds and resolving non‑payments and changes in classes; provides honors list, enrollment and general statistical information; assists students with processes; oversees graduation list and certificate check; performs verifications for student loans and financial aid, SSI, and vocational rehabilitation; documents prior service for VA; processes documentation for credit by examination and credit by evaluation; maintains official student records; responsible for archive of student records; assists in proofing class schedules; resolves questions regarding admissions, registration and records policies and procedures; assists in the production of A&R publications; performs related duties as assigned.

 

Knowledge and Abilities

 

Knowledge of: on‑line computer registration systems; general computer functions; automated office methods; recordkeeping, financial, statistical and reporting practices; data interpretation and evaluation.

 


Ability to: supervise the work of others; learn governmental and special funding guidelines and regulations applicable to college admissions and registration functions; interpret policies and procedures; report and interpret statistical data; compose routine correspondence; maintain files; communicate effectively orally and in writing; establish cooperative working relationships with persons contacted in the course of performing assigned duties.

 

Training and Experience

 

Any combination of education, training and experience that provides the required knowledge and abilities.  An example of this would be college coursework and/or supervisory experience in admissions and records with working knowledge of an automated office system and coordination of college registration functions.

 

Special Conditions of Employment

 

Evening hours are frequently required.

 

Working Conditions

 

This class may be required prolonged monitor viewing and occasional lifting up to 50-lb objects.
