Job Summary

 

Directs, coordinates and supervises operational, administrative and student support services and course support activities, for multiple college sites.

 

Scope

 

This position works at the College center(s). Work contacts include administrators, faculty, staff, students, vendors, external agencies, outside contractors and the public. Equipment used includes standard office equipment.

 

Supervision Received

 

This position reports to the Vice President Administrative Services or assigned administrator; receives broad instruction as to goals and objectives; receives general direction regarding routine and standard matters; specific instructions regarding non‑routine and highly sensitive matters.

 

Supervision Exercised

 

Depending on location/department, may supervise the positions of Facilities Coordinator, Mail Center Technician, Office Coordinator, Student Services Specialist, and/or other assigned staff.

 

Representative Duties

 

Directs, coordinates and supervises the operation of multiple college sites throughout Maricopa County; develops and implements guidelines pertaining to student recordkeeping in compliance with all regulations; coordinates and supervises all facets of site operations for the college which may include advisement, registration, assessment, student financial aid, network technology, security, safety, maintenance and operations, courier services, and course support activities for the college; facilitates programs and lectures and provides liaison in community and student organizations; supervises facility usage and scheduling by college and external users; markets and administers off-site educational offerings and services; coordinates and supervises receiving, mailroom, copy center and print shop; maintains liaison for contractual agreements with outside vendors such as leases and copy machine services, landscaping and maintenance services; acts as bookstore and cafe liaison; develops and maintains department budgets; maintains accountability for college property at site locations; supervises and evaluates assigned staff; implements college and departmental policies and procedures; performs related duties as assigned.

 

Knowledge and Abilities

 

Knowledge of: administrative services of educational institutions; contract negotiations; property management; current practices in student services delivery; various computer applications..

 

Ability to: manage diverse operations; organize and prioritize work flow; supervise the work of assigned staff; maintain accurate records; manage copy center support, receiving and mailroom departments; represent the District to a wide variety of constituencies; communicate effectively orally and in writing; establish cooperative working relationships with persons contacted in the course of performing assigned duties.

 

Training and Experience

 

Any combination of education, training and experience that provides the required knowledge and abilities.  An example of this would be a college degree in public or business or educational  administration and/or demonstrated experience in administrative operations in an educational environment preferred.

 

Special Conditions of Employment

 

Position is on a twenty‑four (24) hour emergency call.  Possession of a Class D Arizona Driver's License is required.

 

Working Conditions

 

Extensive local travel may be required.
