Job Summary
Directs all phases of student admissions, registration,
student records, transcripts, maintenance and updating of course rosters and
reporting for graduation, veteran certification, athletic eligibility, and
related areas.
Scope
This position works in the area of college admissions,
registration and records. Work contacts
include administrators, faculty, staff, students and the public. Equipment used includes standard office
equipment.
Supervision Received
This position reports to an assigned administrator
responsible for the area of admissions, registration and records; receives
general direction regarding routine and standard matters; specific instructions
regarding non‑routine and highly sensitive matters.
Supervision Exercised
Depending on
location/department, may supervise the positions of Admissions/Records Technician,
Admissions/Records Clerk, Information Clerk, Student Services Specialist,
Administrative Secretary, Administrative Assistant and/or other assigned staff;
may also be responsible for supervision of veterans’ affairs office.
Representative Duties
Responsible for administering admissions, records and
registration program at the college; plans, organizes, implements and
supervises admissions enrollment and certification activities; coordinates
functions with other college personnel; ensures compliance with state, federal
and district regulations; develops and administers policies pertaining to the
overall record keeping function of the college including class rosters, student
applications, permanent records, transcripts, credits, grading, withdrawals,
computer processing and statistical information; rules on student eligibility
questions for athletes, honors and residency; responsible for the security and
confidentiality of student records; advises and enforces college policies
relating to admissions, registration and records; works with federal agencies;
prepares and certifies enrollment reports for state aid; assists with internal
and external audits; serves on certificate committees which rules on
eligibility documentation for graduation and certificate programs; supervises
awarding of credit through transfer, credit by exam, credit by evaluation,
credit by articulation; recommends and enforces standards regarding admissions;
responsible for the publication of the class schedule; assists with or may be
responsible for college catalog publication; formulates and interprets policies
regarding record‑keeping and grading; meets and corresponds with students
to resolve problems; coordinates articulation with other schools; prepares and
administers budget; prepares reports on instructional data and student
enrollment; authorizes tuition refunds; hires, evaluates, supervises and trains
staff; authorizes admission and may provide guidance to international students;
administers tuition and fee requirements; responds to subpoenas; may be responsible
for organizing high school visitations; maintains custody of the college seal;
performs related duties as assigned.
Knowledge and Abilities
Knowledge
of: college registration and records maintenance procedures; computerized on‑line
registration systems; governmental and special funding guidelines and
regulations applicable to college admissions and registration functions.
Ability
to: organize and manage college record keeping function; supervise the work of
others; prepare, maintain and interpret statistical data; prepare and
administer budgets; communicate effectively orally and in writing; establish
cooperative working relationships with persons contacted in the course of
performing assigned duties.
Training and Experience
Any combination of education, training and experience that
provides the required knowledge and abilities.
An example of this would be a college degree in a related field and/or
proven experience in a supervisory or management capacity in college
admissions, registration or records.
Special Conditions of Employment
Position may require incumbent to work extended hours.
