Project Leadership
Meeting Summaries and Decisions
The CIT discussed a number of items at the
8/1/06 meeting including the following:
* Under the leadership of Della Garcia, Shirley Lowman, and Gary
Mandarino, a detailed summary of 63 common student information business
processes
has been developed and mapped. This analysis of business processes has
been distributed to
college teams.
* A sub team of CIT will categorize these processes by functional area
and work with the appropriate councils to review and determine which of
these processes can be standardized across the district.
* The proposal to provide resources for staffing backfill at the
colleges was discussed at the Administrative Services Council meeting.
Reviews of this proposal are pending with the Student
Affairs vice president's council.
* The Financial Aid Council submitted for review, a separate,
additional staffing backfill proposal.
* The overall Backfill issue will be discussed in the next POG
meeting to be scheduled in early September.
* Several colleges have completed and are now posting
college-specific dashboard status reports with all colleges
scheduled to provide dashboard status by September 5.
Overall Project
Status
This week’s dashboard status report is
available via the link located at the left margin of this Update. The
overall project status continues to show that the project team is
behind on deliverables, primarily in the areas of Modification
Retrofitting (MCCD system
customizations) and Functional Testing. Good progress has been made in
the areas of data conversion, data cleansing, and training development.
Although
significant progress is being made, the dashboard only reports task
completions,
which are lagging. The team is working on a number of catch-up
strategies and should begin to show status improvement on the dashboard
in the
next several weeks.
Issues Report
An additional technical consultant has been
added to the project team to assist with modification retrofitting,
which completes the
planned staffing level for that team. The project team is still
searching for additional functional resources. Project Management is
looking at strategies to ensure that the overall project timeline is
maintained. This includes close analysis of status and pending tasks,
as well as shifting internal personnel to work on the most critical
tasks.
Learning Bin
Janice McClain from the DO Training team gave
CIT a
demonstration of the User Productivity Kit (UPK), the tool that is
being used to develop both written and on-line training material for
the SIS project. The tool coordinates the development of both
printed
documentation and instructions for SIS usage, as well as the
development of web-based documentation and interactive training
content. The training materials developed will provide conceptual
information as well as detailed step
by step instructions for completing transactions in the SIS
application. The
demo generated lots of excitement with CIT. Expect to see more from
this tool during the training phase of the project.
