Project Leadership Meeting Summaries and Decisions
A number of
project discussion items continue on the agendas of the college
implementation and project leadership teams including:
--The
College Implementation Team (CIT) is in the process of re-affirming the
decision-making process in order to ensure that constituent groups are
consulted as appropriate.
--A plan to seek student input on SIS has
been developed by a
communications committee of CIT and will be finalized within the next
two weeks.
--College
CIT teams will be posting “dashboards” to track progress on the college
level implementation plans.
--MCCCD
will be using a single point of contact web site as the “portal” entry
point into the system. A plan to develop this web presence is under
development.
--Discussion
continues on the district-wide ramifications regarding student payment
options of by-term or by-charge. This business process has enrollment
management, business office, and student services issue implications.
Overall Project Status
As expected with
any large complex project, there will be times when the completion rate
of anticipated tasks does not maintain pace with the projected
calendar. Over the past three weeks, the project leadership team has
been specifically monitoring the progress on the programming
“retrofits” for the MCCCD modification to the quick admit function.
Several strategies have been deployed including: shifting programming
resources from other MCCCD projects, seeking additional consultant
input, and moving project staff that is ahead of schedule to provide
support. While the project is still behind, significant “ground” has
been made up over the last week.
Other status news
includes: eleven additional modifications reached full completion,
functional testing continues, and preparation for the training process
continues to be ahead of project schedule. The overall completion
status of the modifications (version 8.0 to 8.9) is now at 83%.
Issues Report
One of the first
major milestones for the project is to complete all of the 8.0 to 8.9
MCCCD modification “retrofits” so version 8.9 can be released to the
colleges to begin the earliest phases of system testing. Still pending
are the new modifications to 8.9 that were not made in the 8.0 version.
The development of the new modifications will progress through the end
of the year. The project leadership team is working hard to achieve
this milestone.
Learning Bin
This week’s
learning bin will summarize the major tasks of the project in order to
serve as a reminder of the complexities associated with the SIS
project. While PLT and CIT are committed to meeting the October 2007
implementation date, the complexities of the project continue to remind
us of the challenges of meeting this goal.
Here is a quick overview of
the major tasks: converting version 8.0 to 8.9 with all of the MCCCD
modifications; changing the foundational data base from SQL to Oracle;
consolidating over one million student records; migrating from 13
separate college-based data bases (including two skill centers and
MCC’s non-credit) to a single district-wide data base; implementing new
software to manage the infrastructure; aligning more college-based
business practices to a common set of business practices; shifting from
a “provider” to a “self” service environment; addressing
infrastructure issues (network redundancy, data center stability); and
marshaling both college and district resources to form a collaborative
implementation strategy.
