Employee Resources

The intent of this web page is to provide information to employees regarding the surplus process.

Surplus Donation Procedures

Under various circumstances property can be donated to eligible educational institutions. There are several conditions that need to be met to conform to our policies:

  1. Surplus manager determines if items have any auction value.
  2. If a zero auction value is determined, items can be donated to an eligible educational institution with the written approval of College President or Vice Chancellor.
  3. College will forward all necessary documentation to the surplus property manager.
  4. Surplus property manager will facilitate the transfer of the property to the eligible educational institution.

Disposal of Library Books

Library Books

If Library Books are deemed Surplus and not needed by a particular library, then:

1. Check with other libraries in the MCCCD system to see if they have a need for that particular book. If it is needed, then
transfer the book. If not, then:

2. Check with the Arizona State Library System exchange Program to see if that particular book is needed in that system.
If it is, the book may be transferred to that program. An inventory shall be made and Capital Asset Accounting at the District Office shall be provided a copy. If the AZ State Library Program does not have a need for that particular book, then:

3). The book shall be transferred to Surplus Property for auction or sale. An inventory shall be made of all books transferred to Surplus Property and Capital Asset Accounting at the District Office shall be provided a copy of the inventory.

Evaluation Copies of Textbooks

When Evaluation Copies of Textbooks
(also referred to as Examination or Complimentary Copies)
are no longer needed by the employee, the following can be done:

1). Return them to the publisher or publisher’s representative at their expense, or

2). Check with the college library to see if they want to add the textbook to their collection, or Add the textbook to the employee’s departmental lending library for students, if one is maintained, or

3). Transfer the textbook to Surplus Property. An inventory shall be made of all books transferred to Surplus Property.
