MCD and Year 2000 PENDING ITEMS as of 1-31-99
While it is true that Maricopa has already achieved a lot in making major information systems Y2K ready, don't be fooled into believing we are done. See the following list of in progress items for some indication of work yet to be accomplished.

Feb 1, 1999: E-mail RFP released to public and vendors
Jan 21: E-mail RFP 3rd draft reviewed at District-wide Computer Coordinators meeting
Jan 13: E-mail replacement project progress discussed as information item at ITAC
Jan 11, 1999: E-mail RFP 1st draft review completed
Jan 1-11, 1999: E-mail RFP 1st draft prepared using template which conforms to MCD's purchasing requirements. MCC gained Gartner's service to review 10 pages of the E-mail RFP at no additional cost for structure, approach and other observations.
Dec 21-23, 1998: E-mail consultant and district-wide E-mail committee held workshops for research and planning needed
November 4, 1998: Extensive research on A1 and its impact from year 2000 were completed. MCD E-mail service feasibility and desirability both tactically and strategically were considered. The result of this research is that A1 is not Y2K ready, MCD is best served by not moving forward with the latest A1 system, and that MCD must replace A1 before year 2000. This information was communicated widely within MCD as well as in detail at the Computer Coords meeting whereupon the need to re-activate the E-mail committee was decided.
Oct 20, 1998: Workshop held to share findings and observations about MCD's employee E-mail system (All-In-One A1).
Aug 5, 1998: Established that the current version of A1 is not Y2K ready. Initiated wide communication as to what next?
History: Extensive research and discussion held in prior years among district-wide computer coordinators and E-mail committee. As part of an E-mail selection for Students, MCC and PC investigated and piloted several E-mail products. Several other colleges have many employees who have used NETSCAPE and EXPLORER as e-mail to send attachments and gain advanced features as a client using POP server supported by DEC VAXes +. District Office has some experience with Groupwise and Netscape Calendaring.
2. DEC Systems Robert Carrigan
1-26-1999: Digital/Compaq was contracted last year to evaluate representative production VMS environments for their Y2k readiness. Their evaluation and report should be available mid-February 1999. At that time an action plan will be proposed that will bring affected VMS systems into Y2k readiness. Notice of the plan will be made available to all sites for feedback on implementation essentials, including staffing requirements and time lines.
1-21-1999: Compaq Healthcheck deliverables are set to be available the week of Feburary 8th. MCCCD will receive a configuration report of the hardware and software present on the representative VMS systems, a detailed status report of their Y2K readiness, and a presentation of these results and recommendations for Compaq follow-up services. Current and projected UNIX servers with operating system supported by ITS now total 28. Of those, 10 are Y2K ready. The balance will be upgraded to a Y2K ready version of UNIX with a projected completion time frame of August 1999.
3. DeskTop Coordinators: College Computer Coordinators: Have inquired as to the availability of budget from Dist for Y2K desktops. Some budget was requested for 1999-2000 fiscal year to be used to evaluate proposed Y2K desktop software/tools for district-wide use. Jim sent a note to college computer coordinators requesting their input and support in selecting preferred desktop tools. As list noted in the MCD Y2K white paper, desktop and year 2000 solutions is a college responsibility.
District Office Desktop/Server Team of Keli Jones, Norm Dye and Mike Franov:
1-27-1999 meeting: Jones, Gesin, Dye, Franov met to review progress and future plans. Norm Dye will review vendor supplied and other Y2K desktop tools. Norm will identify top vendors and tools for review by committee and others. Norm will test some tools on limited desktops as an evaluation and a process to enable the development of procedures to be used for desktops and year 2000 issues. Gesin/Jones will draft a District Office SOP on desktop support. The team will invite college desktop persons to vendor/tool presentations and evaluations. The project plan and results of each evaluation will be shared district-wide. Next meeting to be scheduled in two weeks.
1-20-1999 2:30pm meeting Dye/Jones/Devere/Ramirez/Gesin cancelled due to numerous persons out ill. To be rescheduled for week of 1-25-1999.
History: Jim/Keli have had initial meetings only. Mike Franov indicated his area would be available Jan 1, 2000 if problems arise. Mike also noted Norm Dye is responsible for District Desktops. Norm indicated he has tool to correct desktop bios (hardware). Janet/Mike, Norm and Keli meeting required asap.
4. Loan Management System (LMS): Gary Nusbaum indicates that resources for that project will restart sometime in April 1999. LMS is not Y2K critical until July 1999.
5. INFORM Sandy Reah is correcting INFORM to be Y2K ready. Jim has suggested that Sandy not proceed with adding CGC as INFORM user until after INFORM has been made Y2K ready.
1-15-1999 workshop to review BlackBoard as possible replacement for INFORM. Organized by Allen Levine. E-mail notes by Shirley Petras. Close but no cigar. Need to Y2K INFORM and keep looking or work with PS Student to integrate.
6. Financial Records System (FRS) Dave Steele and Jim DeVere met to initiate project to review FRS and Y2K readiness. Dave is researching material and will report back to the full FRS team of interested parties by Jan 15th.
7. Course/Program Requisites (CPR): Robert Peterson. All data converted, few screens to be tuned up and COURSES to WEB on hold. Awaiting new INGRES from vendor.
8. Maricopa Institutional Research (MIR) a. Juan Marquez/Doug Allenberg: Y2K ready. How about the MIR access tools used by MCD research folks?

b. Tom McCann: uses MIR for INGRES HRS programs Kelly Young is the dba.
9. Tutor Management System (TMS): Tonie Salzano
1-27-1999 Tonie Salzano and John Schroeder have indicated that an ITS new hire temporary employee has been identified to correct TMS for Y2K through the use of Cold Fusion and Web interface. This is great news for TMS users.
10-1-1998 Tonie Salzano indicates TMS is not Y2K ready. Robert Carrigan states the apollo1 server supporting TMS can be made y2k ready at the operating system level. This information is from Sun, who state that patch kits applied to the currently installed version of Solaris will make the base environment y2k ready. The y2k status of the C compiler, Oracle products and the various public domain utilities are only partially know.
10. DRA/LIB Bob Davidson has received a new release from vendor for Y2K readiness (to be installed). The LIB servers need to be updated with Y2K ready Unix O/S. (Tom bates and Bob for Unix)
11. OGF Dave Steele/Mike Murphy: OGF 10.7 has been installed. Some literature on WEB indicate OGF 10.7 has been found to not be Y2K ready. Internet mail with this message was sent to Dave Steele for review.
12. INGRES Jason Pociask is reviewing impact/differences in the latest INGRES software from vendor and current version to estimate and summarize impact on current INGRES developers. The new version of INGRES is required to become Y2K ready for the following INGRES applications known to be in use within Maricopa: INFORM, INSIGHT, CARS, CPR, ..
13. INSIGHT: Jim DeVere indicates that, if a new INGRES version is required, and we are required to rebuild (compile) (Link) all current INGRES applications, we will not be able to rebuild INSIGHT. Maricopa does not have the most recent source to the online INSIGHT application. In addition, there is no INSIGHT product manager within Maricopa who would be able to rebuild the INSIGHT functionality from the source code available. If this rebuild is required, INSIGHT will be forced out when the college requires installation of the new INGRES, but no later than Dec 31, 1999.
14. Plastic Mike McIntier/Mary Faires: Bank One and other plastic funds processing systems and devices have been defined. Their Y2K readiness has not been established. Mike McIntier and Margaret McConnell have developed vendor y2k inquiry letters to be sent out Feb, 1999.
15. Electronics: College Y2K Unit Leaders Some items which may be impacted are VCRS, HVAC, Security Cameras, elevators and any other electronic device not include in any other category. College responsibility to identify and correct electronic devices which may be impacted by Year 2000 issues at their location. Dist Office responsibility to identify and correct electronic devices which may be impacted at their location.
1-26-1999 Arlen has been asked by Arnold to do some checking with our chiller manufacturers for Year 2000 compliance on the recent chillers purchased in the central plant program. Arlen have received responses back from JCI (Meatsys is compliant), Trane Chillers (CGCC). Both are compliant. Arlen is waiting for responses back from Carrier and McQuay. Arlen also sent a request to York as well as Trane, McQuay and Carrier to determine if any of their older model chillers that we may have would have year 2000 problems. So far, with Trane and York replying, we appear to be o.k. Arlen is keeping everyoine updated on any of his findings.
16. Legal: Margaret McConnell/Mike McIntier are preparing inquiries to MCD's primary vendors to review their Y2K status. In addition, they have been responding to vendor inquiries into MCD's Y2K readiness status.
17. Other Every MCD Employee: The unknown is the only problem. Everything else has become a target for MCD areas of responsibility.
