Maricopa has completed an RFP process of which a Messaging Implementation Team (MIT) has been formed to implement the new Maricopa Employee E-mail system. All employees will have an opportunity to be trained and transferred to the new system by December 1999.
October is scheduled for a beta test of the Maricopa new e-mail system. Each sites e-mail team representative is coordinating who will be part of the beta test. Additionally, a team of persons is matching A1, HRS, and DIAL records to ensure production setup of email includes an account for every employee that currently has an A1 account. November is scheduled for a time when the production implementation and users to begin migrating from A1 to the new system.
Extensive communication as to the proposed new email address and other e-mail team decisions are being reviewed and double checked and triple checked to minimize risk and issues for project success. An example of the new proposed email address for me would be based on proposed email address standard first.last@sitemail.maricopa.edu
james.devere@ domail.maricopa.edu
As part of the email address standard, each employee could choose what should show as the "first" name, so in my instance, I could choose jim…..
Another major decision was proposed by the A1 Data Migration team to purchase vendor support to migrate all the current A1 messages and folders to the new email system.
While the vendor has indicated that the current version of A1 is not Y2K ready, Maricopa has made some corrections and vigorous testing of A1 for limited functions as a contingency.
A copy of FRS has been moved to the Maricopa Y2KT year 2000 testing system. Testing will be completed in October to ensure FRS will function as required into the year 2000. For additional information regarding FRS and its Y2K readiness status, contact Dave Steele the FRS technical product manager or Mike Murphy the FRS functional product manager.
LMS testing continued during September 1999 by Craig Dyer, Gary Nusbaum, and Eileen Gawin. Implementation is scheduled for October/November into Production. For additional information regarding LMS and its Y2K readiness status, contact the LMS technical product manager (Gary Nusbaum), or the functional product manager (Eileen Gawin).
Maricopa plans to continue use of DEC VAX VMS into the 21st century. Extensive testing was started in September to include FRS, CPR, CARS, INFORM, INSIGHT, and other strategic information technology systems.
Digital Alpha UNIX systems require upgraded operating system installed at all sites. These systems are widely used at each site in support of the Maricopa Library system and some colleges web sites. Tom Bates has identified the steps required for project success, including a proposed schedule as to upgrading all DEC ALPHA Unix system. As of this date most systems have been upgraded with three more to be completed by November 15, 1999. The DEC ALPHA OpenVMS system is already year 2000 ready.
Maricopa's Tutor Management System (TMS) is used to schedule and track student services provided by a few Maricopa colleges for student tutoring as provided by their learning Assistance Centers or programs. This year 2000 readiness programming effort has been contracted by the District Office with Andy Conovaloff a Glendale Community College student. In addition, Glendale Community College has extended Andy's contract to make minor enhancements to TMS to meet their needs.
Correction of TMS for year 2000 issues is still in progress. Estimated completion of TMS year 2000 readiness is for October 1999 was not achieved. Additional project review is scheduled to ensure correction of current process is the target and not enhancements.
